Creating Event Templates

Event templates are ideal for creating a series of possible event bookings. Say you have something that you want customers to be able to reserve time slots for and don’t want to overbook like a Lazy River at a water park. An event template is the ideal way to roll this out.

Event Template Requirements

  • Time Pattern
  • Price Category
  • Product

Time Patterns

The first thing to create would be a time pattern that dictates when the spots for the Lazy River can be reserved.

First navigate to Settings > Time Patterns and then select ‘Create‘.

Then give it a name, in this case we’re going to call it ‘Lazy River Times‘ as we’re going to only use this for our Lazy River but keep in mind that time patterns can be used for multiple event templates so if you’re going to have the same availability on another event template you can reuse a time pattern.

Select a date and time for the event template to start as well as end. We’re going to run this event template for only one month. Alternatively you could stop it after a number of events by selecting ‘After’ and the number of times you want it to run.

Below that we will set the time it is available by Months, Day, and Time.

In our example it is available only in May, every Friday, Saturday & Sunday, at the specified times. Because we want this to run every half hour until 4:30 pm but not at 4:30 pm we will have to add an additional rule.

Click the Create button at the bottom of the page to save your new Time Pattern.

Price Categories

Price categories provide a unified, human readable label to the product the customer is buying and can define whether the price is an individual or group price.

Click Create at the top of the page to add a new Price Category.

Give the new price category a name, select if it’s an individual or group and then click Create on the right side of the screen to save your new price category.

Event Templates

Event templates can be used to create events. The only difference is they have no start and end time, but instead a duration which is used to define the end time once a start time is defined. You can create single events, multiple events, or assign a time pattern to enable on-demand creation of events from the template.

To create a new Event Template click on Services > Event Templates, then click on Create at the top of the page.

Enter in a Name and select a Time Pattern, for our example select Lazy River Times.

Click Create to save your event template and be taken to the event template settings.

Click on Add Pricing under the Prices tab.

Select a price category like Adult and assign a product, for this example we are using Adult General Admission with a price of $20. Click Update Prices to save your progress. Clicking Publish Now will save the event template and allow for sales.
